What happens when we qualify a lead?
Qualification is not just a status change. Dynamics 365 typically creates three records at the same time: an account, a contact, and an opportunity. At the same time, the lead disappears from the My Open Leads view and appears under Closed Leads.
The administrator determines whether the records are created automatically, manually, or using a combination of both. If everything is set to automatic, the opportunity opens as soon as the system has finished. If anything is set to manual, the Qualify lead side pane appears, where you can choose to create a new record, use an existing one, or skip it. This explains why colleagues at the same company may describe completely different experiences with the same button.
If the feature is enabled, you can create up to five opportunities from a single lead via + New opportunity. This is useful when one inquiry covers two needs that will follow separate paths and close at different times. Note that the business process flow only tracks the primary opportunity.
If no opportunity is created, the business process flow does not proceed to the next stage—even if the lead is given the status Qualified. This makes it look as though something has been done, when in reality the deal does not exist in the pipeline. Make sure the opportunity was actually created before proceeding.
If a similar account or contact already exists, the system warns you about the duplicate, and you can choose whether to use the existing record. Make that choice deliberately—this is usually where duplicates slip through.
