What is the difference between a catalog product and a write-in product?
Dynamics 365 lets you add line items in two ways, and your choice has consequences far beyond that single quote.
Selected from the product catalog. It has a fixed name, unit, and price, and can be aggregated across all sales. This is what makes sales reporting possible.
Free text with a manually entered price. Useful for one-off deliveries, customizations, or something that has not yet been added to the catalog. The trade-off is that the line cannot be grouped with anything else.
If a large share of sales is entered as free text, it indicates that the catalog is missing something people need. The answer is to expand the catalog, not ban free text—bans only lead salespeople to find another workaround.
