Should old activities and emails be migrated?
Activities are usually the largest table in an old CRM. They also provide the least value when migrating.
Activities can account for several times as many rows as customers and sales opportunities combined. They prolong the migration, slow down testing, and increase the risk of something going wrong along the way.
Ask yourselves when someone last opened a three-year-old email in the CRM. For most, the answer is never. What is actually reused is the customer relationship itself and the most recent agreements.
Old emails contain personal data that you may no longer have a legal basis for retaining. Moving them into a new system is an active step that extends the retention period and should be justified.
Include activities related to open cases and sales opportunities, and leave the rest behind. This gives the salesperson context for what is currently in play, without inheriting everything else.
