What does the SharePoint integration in Dynamics 365 provide?

Dynamics 365 can store attachments directly, but SharePoint is almost always the better place for documents.

Why SharePoint

Storage in Dataverse is more expensive per gigabyte than in SharePoint. You also get version history, co-authoring, and the document features people are already familiar with from Office.

How it all fits together

Each customer or case gets a folder in SharePoint, and the documents are displayed within Dynamics 365. The user barely notices that the files are stored elsewhere.

Define the folder structure first

A structure that is created automatically for each entry can quickly become difficult to manage if you have many entries. Decide whether you want to group them by customer, year, or type—it is difficult to change once tens of thousands of folders already exist.

Access control is separate

This surprises many people: access in SharePoint does not automatically follow the security roles in Dynamics 365. A user who cannot see the customer in the CRM may, in principle, be able to access the folder directly. Make sure this is addressed if the documents are sensitive.
