Copilot proposes project structure

Microsoft opened Copilot in Planner as a public preview in the new Teams Planner app on 23 July. Users with an eligible Project Plan licence could request a proposed plan, goals, tasks and subtasks and ask for plan summaries. A project manager still needed to review the proposal because a generated list does not automatically know local dependencies, capacity or approval requirements.

The 29 July Planner update described improved search, more information in My Tasks and accessibility changes. This supports collaboration when employees find and update the same task. Teams still need to prevent parallel plans and give every delivery one accountable owner.

The analytical model evolves at the same time

Power BI published its July update on 11 July with reporting, modelling and service changes. Analytics owners should manage model changes with the same discipline as the project plan. A new field or measure receives an owner, definition, test and date so a project report cannot silently change meaning.

Copilot may reduce time to a first plan draft, while Power BI can show progress and risk. Neither determines a sound delivery. Project and data owners should jointly define completed work, forecast and exception.

Compare the proposal with a real project

Choose a completed project and ask Copilot to propose a plan from the same objective. Compare it with actual activities: missing work, wrong sequence, unclear owners and overlooked approvals. Use findings as a checklist for new plans rather than a universal judgement of quality.

Then test an active delivery from Planner to Power BI. Verify task ID, status, due date and refresh time. Measure unowned tasks, time from exception to action and differences between plan and report. July's changes support project management, AI, analytics and collaboration when generated proposals are editable starting points and shared records remain traceable.

The project office should retain the original AI proposal beside the approved plan. Differences show where people added local knowledge about dependencies, capacity and quality. Repeat the comparison after delivery: identify missing or unnecessary tasks and risks found late. This creates concrete learning for the next Copilot use.

The report owner should also provide a control page with source, refresh time and measure definition. After a plan change, verify that filters and relationships still include every relevant task. A management decision should trace to its visual, task and owner.
