For the App for Outlook to appear, three things must be in place: a license, a security role, and an approved mailbox. This guide takes you through them in the correct order.
In the email configuration, incoming and outgoing email, as well as appointments, are set to server-side synchronization. This is a prerequisite for everything else.
The mailboxes must be approved by an administrator and then tested. The test provides a clear error message if anything is missing—read it before troubleshooting further, as it almost always points directly to the cause.
Choose to have the app added automatically for all eligible users. This means you won’t have to do anything manually for each new employee—the most common reason new employees don’t have the app.
The user needs a role that grants access to App for Outlook. If someone has a license and an approved mailbox but still does not have the app, this is usually where the issue lies.
Have a user without administrator privileges reopen Outlook and confirm that the app appears and tracking works. Your own account is not a valid test.
