Planner moves from preview to rollout

Microsoft announced on 3 April that new Planner had begun general rollout in Teams. Deployment would take place gradually over several weeks. The combined app displayed personal and shared tasks and gave premium users more advanced planning. Some capabilities, including Copilot in Planner, had separate preview or rollout paths and were not generally available merely because the app itself was.

The project office should compare plan identifiers, membership, assignees, due dates and dependencies before and after the update. Test a basic user and a premium user. Licence differences and missing views then become visible before a team changes its formal follow-up.

The report must use the plan's definition

Power BI published its April update on 9 April with reporting, mobile-layout and modelling improvements. For projects, value depends on task and delivery information having the same meaning in plan and report. “Complete” can mean performed activity, accepted delivery or billable work; the project must select one definition for each measure.

Build a control report with task counts, unowned tasks, delayed deliveries and changes since the previous meeting. Trace each number to the plan or another authoritative system. Automated refresh reduces manual copying but can spread errors faster when status fields or filters change.

One follow-up flow

Test a monthly routine: the team updates Planner, a data flow refreshes the report, Power BI shows exceptions and the decision creates an accountable task. Measure time from an exception to assigned ownership and count differences between plan and report.

Collaboration and productivity improve when users stop maintaining parallel lists. Management should keep the responsibility matrix explicit and document who may change measure definitions. April's releases provide a more unified work surface and stronger reporting options. Their value appears when the project has fewer ambiguous tasks and decisions can be traced from analysis to execution.

Keep a monthly reconciliation for the first three months after rollout. The project manager and report owner compare a sample of tasks with reported figures, document licence-related differences and correct source records before the next steering meeting. New views or fields use the same change log. This routine can reveal silent automation breaks and gives users one route to report that a task appears differently from the report.
