Describe who you will help, their problem, the desired action and why the initiative fits now. Agree who approves the message and owns the outcome. Keep objectives separate from channel choices until the need is clear.
Complete: audience / need / offered value / action / measure / budget / owner. Check whether a colleague can explain the plan without another meeting.
Check that the message fits the segment's actual characteristics and expectations. Choose one clear next action. Follow approved rules for communication preferences, purpose and contact frequency; consult the responsible owner when the basis is unclear.
Test the brief against three fictional recipients: a relevant customer, someone outside the audience, and a contact who should not receive the communication.
Review subject, content, links, forms and confirmation as one experience. Check personalisation, mobile display and missing-data behaviour. Have a colleague follow the journey from start to finish before activation.
Record the test case, expected result, actual result and correction owner. A polished email is insufficient when its form promises the wrong follow-up.
Give sales or service acceptance rules, necessary context and a realistic follow-up promise. Separate general engagement from an expressed need. Watch capacity and adjust when responses exceed what the receiving team can handle.
Create a sample response with contact, need, activity, promised next step and owner. Ask the recipient to confirm that this information is sufficient.
Compare results with the brief and check that figures concern the same population and period. Investigate possible explanations using customer feedback. Choose one specific next experiment instead of attributing every deviation to the message.
Practice case: 80 registered, 40 attended, eight requested a conversation and five received follow-up. Report 50 percent attendance and three outstanding requests. Do not label every registration a qualified lead.
The working routines and fictional examples above are ProsessPilotene learning material. Use the official product documentation below for product context; availability depends on your organisation's setup.
