Use this routine to prioritise analytical needs and ensure reports have both a recipient and an owner. The leader does not need to build the reports personally.

Open the meeting with the decision question. Check period and filters, investigate differences and distinguish explanation from guesswork. Finish with an action, owner and follow-up date.
If two reports disagree, reconcile definitions before choosing action. The most attractive chart does not determine the correct figure.
Review usage, errors, maintenance and overlap. Agree which reports continue, merge or retire with affected users. Reserve capacity for training and support.
Review five reports with their owners. Each needs a known purpose and an explicit future decision, with notice before changes affecting users.
