How do you share a Power BI report in Teams?

• Published report in a workspace — The report must be in the Power BI service, not just on your computer.
• Power BI license for readers — Pro, PPU, or capacity — clarify this before sharing widely.

Prepare before sharing

1. 1.Clean up the report for readers

   Remove help pages, test visualizations, and filters you used during development. What readers see should be a finished product, not a workshop.

2. 2.Check row-level security

   If different readers should see different figures, security must be configured and tested before sharing. Remember that it does not apply to you as the model owner—just because it looks right to you does not mean it is working correctly.

3. 3.Clarify licenses

   Everyone who needs to open the report requires a license, unless the workspace is on capacity. This is the most common reason sharing gets held up at the last minute.

Add it to Teams

1. 4.Choose the right channel

   Post the report in the channel where the topic is actually being discussed. A report in a general channel gets lost; one in the sales channel becomes part of the meeting.

2. 5.Pin the report as a tab

   Add Power BI as a tab in the channel and select the report. It will then open directly in Teams, so people don't have to search for it in a portal.

3. 6.Explain what it will be used for

   Write a short message in the channel explaining what questions the report answers and how often it is updated. Without this information, people may use it incorrectly or not use it at all.
