How do you share an app with colleagues?

1. 1.Share with a group, not with individuals

   Use a security group from Entra ID. This ensures that access is automatically updated when people join or leave, so you don't have to remember to clean it up.

2. 2.Also grant access to the data

   Sharing the app does not automatically grant access to the data it displays. The user needs the appropriate security role in Dataverse. This is the most common reason why a shared app appears empty.

Make it discoverable and understood

1. 3.Pin the app in Teams where it belongs

   People don’t look for apps in an app portal. Add the app to the channel where the work happens, and people will use it.

2. 4.Write two sentences about what it does

   What does the app solve, and who should people ask when something goes wrong? Without that, the questions will keep coming to you forever.

3. 5.Publish changes intentionally

   Changes won't be visible until you publish again. Let people know in the channel when you've made a noticeable change—users who suddenly see a new button without any explanation will lose trust in the app.
